Caliber Transition Questions/Answers

Nevillewood Homeowners Association Questions & Answers about the transition from FrontSteps to Caliber (E-mail sent August 26, 2025 to all homeowners)

Caliber is used by all the subassociations within Nevillewood and now the Nevillewood HOA will too.

1.What is the difference between Caliber and Frontsteps?

Caliber is a software product. Frontsteps is the name of the company that owns Caliber.

Caliber has long been recognized as the gold standard software for HOA management companies. The software is known for its flexibility and unique, configurable design that excels at reducing complexity and boosting efficiency. It adapts easily to the unique policies of HOAs. Caliber software has been for years, and continues to be, fundamental and vital to business operations and basic functions of the NHOA, all of the Sub-Association HOAs, and the management company.

In 2019, Frontsteps bought Caliber. In addition to offering Caliber as a stand alone software product, Frontsteps has been working to integrate Caliber into other products in their portfolio, including the Frontsteps Community Platform. Frontsteps Community incorporates a social media component and was implemented several months ago as a recommendation from prior leadership of the LRP Committee to improve communication/socialization in Nevillewood. Frontsteps Community has been referred to in LRP presentations to the Nevillewood community as simply, Frontsteps. This has created confusion for homeowners as both Caliber and Community are Frontsteps products.

2. Why are we moving away from Frontsteps Community?

During implementation of Frontsteps Community, a number of critical issues surfaced causing current Board leadership to do a comprehensive analysis to determine the efficacy of continuing with this new platform, and they are as follows:

Attempts to integrate data on Caliber with Frontsteps Community proved to be problematic and labor intensive. Syncing issues continually occurred and it was reported there was little explanation from Frontsteps as to the cause or how to prevent it from happening.

Current Board leadership identified significant issues related to processes surrounding access to information, the creation, deletion and editing of data, document storage, access to information critical to board operations, and administrator functions, without the utilization and oversight of a professional management company.

Overseeing a community social media platform is not within the duties, or scope of responsibilities of the NHOA. Similarly, Omni Management Services, Nevillewood’s property management company, is prohibited from taking over as Administrator of the Frontsteps Community platform due to its corporate policy related to social media. The inability of the management company to take over as Administrator was discovered by the current Board; it was not shared by prior leadership.

The utilization of a third party, i.e. a management company, insured and licensed to function as Administrator, is non-negotiable, and an absolute necessity. The Board has a fiduciary responsibility to the Nevillewood community at large and will not approve the removal of processes in place that leverage a check and balance system which prevents non-transparency and duplicity.

Considering all of the above, the Board unanimously approved dropping the Frontsteps Community platform and switching back to Caliber only.

On Caliber you will continue to enjoy and have access to all NHOA documents, newsletters, financials, Request for Exterior Alteration forms, and ability to communicate to the property manager.

Any community engagement on a social media platform will have to occur outside the umbrella of the NHOA and management company. Given only approximately 47% of the community had registered on Frontsteps Community and daily logins on many days was zero, it is possible a private community Facebook page would be better utilized.

3. How will I be able to access Caliber?

For those living in single family homes, not part of a sub association:

To access Caliber for Nevillewood HOA, use your Nevillewood account number and create a log in user name and password. If you already created log in credentials in the past, they will still work.

For annual Nevillewood bill paying online, you will need your personal Nevillewood account number, Nevillewood association ID number (4076) and the management company ID number (6078).

For all Sub Association Homeowners:

You have 2 personal account numbers, one for your sub association HOA and one for the Nevillewood HOA. You also have 2 association ID numbers, one for your sub association and one for the Nevillewood HOA.

To access Caliber for Nevillewood HOA, you will need to use your personal Nevillewood Account number to create a login user name and password.

To access Caliber for your sub association HOA, you will log in using your already established log in credentials. If for some reason you did not establish access, you will need to use your sub association account number and create your user name and password

For sub association bill paying online, you need to use your personal sub association account number, sub association ID number, and the management company ID number (6078). 

For annual Nevillewood bill paying online, you will need your personal Nevillewood account number, Nevillewood association ID number (4076), and the management company ID number (6078).

Omni Management will be emailing all homeowners detailed instructions on how to log in to Caliber for access beginning 9/1/2025 for the Nevillewood Homeowners Association.

**As a reminder, Frontsteps owns Caliber, so when you log in, you will see the words, “Powered by Frontsteps”.**

4. Is the Nevillewood HOA website still operational and what information is available?

Yes, the Nevillewood HOA website (https://www.nevillewoodhoa.com) is active and maintained with current, pertinent information for all residents.  The Caliber portal is still the best way to view all association information, however the nevillewoodhoa.com website is where we store public information for real estate agents and potential residents. You will find relevant documents and key details including the schedule for upcoming board meetings, covenant documents and contact information for our management company, Omni Management Services.  We encourage all residents to bookmark the Caliber portal and nevillewoodhoa.com. Thank you for your patience as we work to improve resources for our Nevillewood community.

5. What is happening with the Street Captains and the Ambassador program?

The NHOA Board has always valued the role of the street captains as they have been important links in the communication chain with the Board and the homeowners on their respective streets for years. They are the pulse of the community and can often provide valuable input about items important to residents.

The Ambassador Program was developed by Long Range Planning (LRP) leadership, moving street captains into an expanded role where they were also tasked with verifying email addresses, getting homeowners to sign up on Frontsteps Community and further encouraging socialization among residents. The Board has received significant negative feedback on the structure of the Ambassador program from several individuals in that they do not want to be instructed by another homeowner as to what activities they need to engage in with residents on their street; they do not want to be held to encourage resident participation in specific Collier events, or required to have street parties. There is a desire for socialization within or among streets to occur organically.  The Board has recently approved a revised list of roles and responsibilities that has been discussed and distributed at the final LRP meeting. Those in attendance provided positive feedback to the implementation. Details were emailed to those street Ambassadors who were not present at the meeting and are also included in this email as a separate attachment.

6. What is the status of community beautification efforts, including the monuments, the flowers, and the Forsythe corridor burning bushes?

We recognize that parts of our community currently lack the curb appeal we all want. The monuments need attention, and the Forsythe corridor’s burning bushes and plantings have not met expectations. Many residents have also noted the absence of the colorful flowers we once enjoyed.

The Board shares these concerns and has met with JML Landscaping, our community’s landscape provider, to address them. JML explained that the drought resistant perennial flowers planted are expected to take 2–3 years to fully establish and flourish. This summer’s plantings that did not thrive will be replaced as part of the second phase of the project this fall. The burning bushes cut back last year were also given a 2–3 year recovery timeline. However, the Board will closely monitor their progress and develop a contingency plan if they fail to respond as intended.

We are actively exploring additional options for adding more color and vibrancy throughout the neighborhood. Our monuments and islands have always served as focal points, and restoring their visual appeal is a top priority. In addition to new plantings, Omni Management Services has been asked to obtain bids to repaint and refresh all monument engravings.

First impressions matter and the condition of our monuments and entrances should reflect the pride and joy we have living in such a wonderful community. Bringing back that welcoming and beautiful appearance will continue to be a key focus moving forward.

1. When do I need permission from the Homeowners Association?

Any and all Construction, renovation/projects, landscape plans, revisions, not including flowers, must be approved through an application process to your HOA Architectural Review Committee and approved by the HOA Board of Directors before work commences.  Please see homepage and 'Covenants, Conditions & Restrictions for residential housing' section for more information.  All questions should be submitted to Omni Management Services concerning Residential Home/Land Alterations (Management Agent: This email address is being protected from spambots. . Can I post a political sign in my yard?

One political sign can be installed at the property of a private residence 15 days prior to any general or primary election date and must be removed within 48 hours of said election date.  Any and all signs must be in accordance with the permitted style and color and must be of the step in variety.  Failure to confirm to the style, placement or permitted number of signs placed on a property will result in fines as established as a $500.00 initial fine plus $10.00 per day for each day that the infraction is in effect - See Policy Resolution #5.

4. When and Where does the Homeowners Association Board meet?

The Master Homeowners Association Board meets the 4th Wednesday of each month with the exception of November, December, January and February.  Business is conducted online during this four month period.  Any questions, clarifications or approvals are accepted and decided electronically.  If a formal meeting is needed, one will be conducted.

5. What areas does the Homeowners Association cover?

Covenant Control; Beautification; Irrigation of common areas as required; Landscaping common areas; Lighting of common areas as required by Collier Township; Public Safety Liason; Public Works Liason; Repair split rail fencing.

6. What are the common areas of our Nevillewood Community?

Nevillewood monuments; Street islands, Planting beds and grass throughout neighborhood.

7. How do I receive the Nevillewood Magazine?

Only residents living in Nevillewood can receive the Nevillewood magazine.  N2N Publishing produces our monthly magazine.  If you are not receiving the magazine, please contact Lisa Coma at N2pub at 412-913-6835.  Only addresses within Nevillewood are acceptable.  N2N Publishing also accepts advertisement for its publishing.  Contact Lisa for more information.

8. Can I post a 'For Sale Sign' in my yard?

The placement of "FOR SALE" signs is limited to two signs per property.  "For Sale" signs will be limited to one sign in the front of the property and one sign in the rear of the property. Any and all signs must be in accordance with the permitted style and color and must be of the step in variety. See Policy Resolution #4.

9. Can I post a place a 'POD' or storage container in my driveway?

The placement of storage containers (PODS) may be placed on the property for a time not to exceed seven (7) total days from the time the container is placed on the property.  Notification by the owner placing the container on the property must inform the management company as to the time and date of the placement for tracking purposes. 10. When is garbage collection; When can I put my garbage out for pickup and Who do I contact if my garbage is not collected?

Garbage and refuse should be placed at the curb after 6PM on the day prior to collection and before 6AM the morning of scheduled collection.  Please call Public Waste Services at 412-429-2600 if your garbage has not been picked up on the scheduled day.  For a list of garbage collection dates and items, see links at top of Local Area Information (About Menu item--->Local Area Info) or click here:
